Integrate People, Tools and Process to Increase Profit

There are three elements that contribute to how well a practice operates and ultimately its
profitability: 1) People, 2) Tools, and, 3) Process.

People - the doctor(s) and staff. Critical success factors include training, staffing levels and
scheduling, teamwork and motivation, interpersonal skills, staff recruitment and retention,
and compensation planning.
Tools - all of the "things" we use to do work: computer systems and software, office facilities
and layout, templates for patient letters, reports of key practice metrics (new-patient starts,
overhead, collections, etc), marketing materials and channels, standard job descriptions, etc.
Process - how the work is done within the practice: standard protocols for everything from
new-patient set-up thru the collection processes, how patient scheduling and recall should
occur, how supplies are acquired for multi-office practices, periodic review of key practice
metrics for negative trends, regular staff appraisals and compensation and benefit changes,
etc. The larger a practice becomes the more important standard, documented processes
become.

The critical success factor in reaching the best possible revenue/expense balance is not simply
coordination of, but integration among these three critical elements:
- The best motivated and well trained staff (People) supported by a strong, effective
marketing program (Tools) cannot be successful without complementary, well documented
office operating procedures (Process).
- State-of-the-art Billing and Recall software (Tools) is useless if staff turnover averages
50%per year and constant, repeated training is required (People).
- Even well trained and motivated staff (People) using appropriate and efficient office
management and workflow protocols (Process) are ineffective in a poorly-designed or out-
dated office space (Tools).
- A highly trained staff (People) with an outstanding Referral program to grow your patient
base (Tools) cannot manage a busy front office without efficient work processes and clear
job descriptions that match (Process).
