Software Conversions and Practice Transitions
We've managed many Practice Conversion and Transition projects for clients across the US -
from small, single-Doctor offices to large multi-office/multi-Doctor practices.  Thru these
projects we have compiled a very thorough set of
tools that allows us to smoothly manage the
conversion / migration while the practice continues to operate smoothly.

We've documented virtually every problem that can occur or item that can be overlooked
and included preventative or mitigation steps in our
master workplan.


With most practices the areas include:

  • Computer Systems Conversions (for example,  WALRUS,  OASYS,  Dentrix,
    SoftDent,  Advanced-Ortho Systems,  KODAK OrthoTrac, etc),
  • Human Resources (training, payroll setup, benefits management, standard job
    descriptions, staff employment agreements, team building exercises, etc),
  • Marketing Planning (develop or refine your marketing programs, re-engage local
    referring dental professionals, patient letters, local media,  etc.),
  • Financial Management (new banking accounts, setup accounts payable and
    receivable, credit card processing, tax payments, insurance processing, profitability
    and cash flow analysis, supplier accounts, etc),
  • Real Estate (conversion of leases, leaseholder improvements transfer, signage, etc)
    for existing or new satellite offices,
  • All other critical functions to keep the practice functioning smoothly during the
    transition.


Our Approach:
  1. We learn how your practice functions today via conferences with the Doctor and key
    staff members.  
  2. We tailor our 200+ task project time-line to your needs.   This workplan has been
    developed and refined thru many successful practice conversions and includes all the
    detailed tasks needed to insure that every aspect of your conversion is identified in
    advance and tracked to completion - from 60 days prior to cutover thru 90 days
    after.  It insures that nothing falls thru the cracks and your practice continues to run
    smoothly.
  3. We oversee the early pre-conversion activities (e.g., selection of and coordination with
    the computer software vendor, scrubbing your patient data, researching staff benefits
    research, supplies-purchasing agreements, etc). We leverage our  strategic alliances
    with quality vendors to address the key areas above as they apply to your situation
    and any office issues you may have.
  4. We work onsite at your office with your staff for 3-5 days during the system cutover
    and orchestrate the changes based on your workplan to insure the systems, staff and
    processes work together optimally during the transition period and in the future.
  5. We then provide post-conversion telephone support (and additional onsite if
    requested) with the staff as needed and also conduct more formal teleconferences to
    review ongoing status, any problem areas and, if you request,  key practice metrics.
  6. We take ownership of problems or issues to insure that the conversion is
    successful.
